AI Token Spend Management for standalone businesses

Overview

This article applies to businesses that use Ramp only for AI Token Spend Management. It helps you track estimated token usage and spend across supported AI providers. Users with access to business-wide data can use AI token spend to review usage, API keys, Spend Limits, and controls. If your business also uses Ramp spend products, see Set up AI Token Spend Management.

Owners and Admins can view and manage usage and spend data, settings, API keys, labels, user and API-key Spend Limits, and manual API-key locks. Employees can use My AI spend to view only their own mapped data.

Overview tab: Unified view of your AI spend

The dashboard supports Anthropic, OpenAI, Cursor, and Gemini usage data. You can filter or report on available dimensions such as provider, model, configuration, user, department, API-key label, etc. See Set up AI Token Spend Management for setup instructions for each provider.

Users with access only to their own data can use My AI spend to view usage and API keys mapped to them.

Briefing tab: Insights and saving recommendations about your company’s spend

The Briefing is a weekly generated analysis for your business about your spend, trends, spikes, and savings opportunities. It analyzes your usage and cost data to recommend optimizations.

Team tab: Track team spend, view spending spikes, and configure user level limits

Unusual spend callout cards - Unusual spending for a user is surfaced in callout cards on the top. Click on the card to see insights about the spike, drivers behind it, and recommendations.

Table - See AI spend mapped to each individual user and how their spend has tracked over time.

User drawer - click on a team member to see their details. See insights about each user’s spend and API keys mapped to them.

User Level Limits - click “Set limits” to set a user level limit that tracks all spend mapped to them.

• Owners and Admins will receive notifications by default 80%, 100% of the way there. Owners and Admins can configure a custom notification threshold as well.
• Exclude any API key you do not want to include in the user limit calculation. Any changes to the user limit will be recorded in the Activity tab.

User limits are notify-only. Exceeding the limit does not lock the key.

API key tab: Track team spend, view unusual spikes, and configure API-key Spend Limits

Table - See your AI spend mapped to each API key and metadata (e.g. Owner, Provider, Workspace, Status) synced from your provider console.

API key labels - Ramp tags your API keys based on usage and metadata to organize your keys for auditing and reporting. You can group by these labels on your dashboard. Labels are tags applied to API keys; they do not rename the provider's key. Owners and Admins can create, edit, and delete labels at anytime from the 3-dot menu or Settings.

Manual locks - Manual API-key lock and unlock are available for Anthropic keys only. Owners and Admins have permission to manually lock / unlock keys.

Once locked this will disrupt any production workflow these keys are used for.

API key Spend Limits - Owners and Admins can click “Set Spend Limit” from the 3-dot menu or API key drawer.

• Enter an amount and frequency. Limits use estimated cost in USD and can recur monthly, quarterly, or yearly.
• Owners and Admins receive notifications by default at 80% and 100% of the limit, or configure a custom notification threshold.
• Auto-lock when a key reaches its limit is available only with Ramp Plus. To upgrade, click Explore Ramp in the navigation bar. Auto-lock is only supported on Anthropic platform keys.
• Owners and Admins can create / edit / delete API-key Spend Limits at any time.
• Updates to the API key Spend Limits are recorded in the Activity tab on the API key drawer.

API key drawer - click on an API key to see details about its spend, metadata synced from the provider. Smart Spend Limit recommendations based on the key’s usage data is available only with Ramp Plus.

Invite teammates to AI Token Spend app

You can invite teammates from Company → People → Invite. You can invite via email or a shareable link.

Roles:

• Employees can view their own AI spend on My AI spend. They cannot view company AI spend data on AI token spend.
• Owners and Admins can view and manage company AI spend, users, limits, and settings.

How does the Unbundled AI Token Spend app differ from Ramp Suite?

The unbundled app experience includes AI token spend, My AI spend, and Company, with Settings in the footer. It does not include standard spend and expense, Bill Pay, procurement, or treasury capabilities. AI token spend includes Overview, Briefing, Team, and API keys.

Can I upgrade from the Unbundled AI Token Spend app?

Businesses can click Explore Ramp in the navigation bar to upgrade to Ramp Plus. This creates a financing application.

Access AI Token Spend Management

Owners and Admins can view company AI spend, configure providers and settings, manage API keys and labels, invite users, and manage available spend controls. Open AI token spend to view company data.

Employees can view only their own mapped AI spend from My AI spend. They cannot view company-wide data or manage providers, API keys, users, or spend controls.
