How to use Ramp funds, physical cards, and virtual cards
Overview
Ramp employees can use their virtual cards and funds with any of the millions of vendors that accept Visa worldwide, both online and offline. Funds represent money the cardholder can spend. However, these are issued virtually and can only be added to a digital wallet or spent from with a physical card. Users can see their funds within the Home tab and on the far right they have their funds/cards. Admins and other power users have access to the Funds tab, not employee role users. Ramp cards cannot be used for ATM withdrawals or cash advances because Ramp treats those as cash-equivalent transactions that are not supported.
How spending works
Once you're invited to Ramp, you can start spending immediately if your account already has a card or funds available. If it does not, check with your manager or finance team to see if you will be issued one. There are many ways you can use or access your card and funds information:
- If you have been invited to Ramp with a physical card , it will arrive in 7-10 business days after you create your account. While you wait for your physical card to arrive, you'll have access to the virtual version of your physical card. In the interim, this virtual card will have a separate card number from your physical card number.
- Before transacting with your physical card, please ensure that you have sufficient funds available to spend from your physical card.
- If you have a physical card and multiple funds, we encourage you to use your physical card and auto-match to have Ramp automatically match your transactions to the correct funds.
- Funds will not have a virtual card number by default unless you do not have a physical card.
- Ramp physical cards work with Apple Pay and Google Pay .
- You may add your card details to your mobile wallet through the mobile app.
- If you want to use your funds with a mobile wallet, we encourage you to still use your physical card in the mobile wallet and have Ramp auto-match to your funds.
- If you manage multiple online subscriptions for your team, we recommend having separate virtual cards for each subscription.
- Monitor your funds to know how much you have left to spend.

Tips for using Ramp virtual cards
We recommend using one virtual card per vendor.
- Security : If the vendor's website security is compromised, your card information with other vendors stays safe. You may simply lock the card for the specific vendor and not have any additional recurring spend blocked.
- Accounting : You can create merchant rules and card rules to easily code transactions from specific vendors. One card per vendor helps with financial organization.
- This can be done by heading to Cards --> click on the card you want --> click on edit. From there, scroll to Transaction coding rules , click add, and add your accounting rule.
- Flexibility : Ability to easily reassign cards to different owners as you hire and scale your team.
- Virtual cards can easily be transferred from teammate to teammate.
- This can be done by heading to Cards --> click on the card you want --> click on edit. Choose a new owner, then click save.
If you have multiple cards and funds, you can easily search for physical cards, virtual cards, or funds by clicking into one of them to view all. Search results will not include deleted cards or funds, pending spend requests, or individual reimbursements.

What's the difference between funds, virtual cards, and physical cards?
A physical card is a card you can carry in your wallet in person. Funds are allocations of money that you can spend on behalf of your company. Virtual cards are a type of funds that can only be accessed digitally. Once a virtual card is approved, it is already activated and ready for use. Both virtual and physical cards have card numbers you can use online or in a digital wallet like Apple or Google Pay. Funds do not have card numbers by default since they're meant to be spent from your physical card. For a physical card to function, you must have funds. The physical card itself doesn't have any money. Without funds, transactions on a physical card will be declined due to a lack of spend ability. Please take a look atthis articlefor more information.
Where do I find transactions from my physical card on Ramp?
Physical card charges may appear under your funds if the physical card was set to spend from a specific virtual card or funds at the time of the transaction. These transactions will count toward the associated funds limit and may block new transactions if that limit is reached. To review or change the funds or card a physical card is spending from as a manager or admin, go to Cards or Funds tab in the web app, select the relevant card or funds, and review the current fund or virtual card associated with it. To review or change the funds or card a physical card is spending from as an employee, sign in to your homepage and click on the physical card on the righthand side, and select auto-match funds or choose other funds.
Why are the last four digits on my receipt different from the last four digits displayed in Ramp?
This is likely tied to these charges paid using Mobile Pay (e.g. Apple Pay, Google Wallet, etc.). With Apple Pay, for example, the last 4 digits listed for Apple Pay transactions are the last four digits of the device-specific Device Account Number in place of the credit card number. This is a known security feature for this wallet.
I've already activated my card. Why did my physical card get declined?
If your physical card doesn't have any funds to spend from, it will immediately decline because it doesn't have any money on its own.
