User role deep-dive: View-only admin

The View-Only Admin is a user role for users who need the ability to view but not edit all data within Ramp. The View-Only Admin role is available to businesses on Ramp Plus.
Previously, this level of data access was only available to Admins. Below are some personas that would be a good fit for this role:
- Auditors (both internal and external) who need to review Ramp data on some recurring cadence.
- FP&A teams who wish to export transaction data
- HR teams who wish to review users who have access to Ramp
As part of the role, View-Only Admins have access to all the same pages as Admins, except they cannot 1) edit any data on the app and 2) conduct any spend or reimbursement-related activity.
Note: Currently, View-Only Admin is only available as a standalone role, not as an add-on privilege like the Accounts Payable role.
What can the View-Only Admin user do?
View-Only Admins have an expanded level of data access similar to that of a Ramp Admin.

What the View-Only Admin does NOT have access to
Unlike regular Admins, View-Only Admins cannot do anything that would modify Ramp or the underlying data. The following features and actions are explicitly unavailable:
- Price Intelligence — View-Only Admins cannot access Price Intelligence data.
- Seat Intelligence — View-Only Admins cannot access Seat Intelligence data.
- Issuing cards or funds — View-Only Admins cannot issue cards, virtual cards, or Spend Programs to any user.
- Creating expense objects — View-Only Admins cannot create reimbursements, bills, POs, or card transactions.
- Editing any data — View-Only Admins cannot edit transactions, bills, user profiles, accounting fields, vendor details, or any other data in Ramp.
- Requesting spend or reimbursements — View-Only Admins cannot request spend, cards, or submit reimbursements.
- Configuring policies or settings — View-Only Admins cannot modify approval policies, submission policies, expense policies, or any company settings.
- Managing users — View-Only Admins have read-only access to user profiles. They cannot invite, deactivate, or change roles for any user.
Frequently asked questions
Can a View-Only Admin be added to a Guest user?
Yes. View-Only Admin is the one add-on role that can be assigned to a Guest user. This gives the Guest read-only visibility into company data while maintaining the Guest's limited spending capabilities.
Can View-Only Admins approve transactions?
View-Only Admins can be added to approval workflows. However, they can only approve or reject -- they cannot modify or edit the items in the workflow.
Does View-Only Admin count as a billable seat?
View-Only Admin requires Ramp Plus. Contact your Account Manager for details on billing.
