Ramp Plus billing policy
Note: This article primarily applies to Ramp Administrators. Cardholders may find other articles in the Ramp overview section to be more applicable.
Overview
Ramp Plus uses per-user pricing. Once Ramp Plus is enabled for your business, all users with internal roles are counted toward billing.
You are not billed for pending users, deactivated users, or external roles. Ramp's external roles are guest, auditor, and accounting firm.
How billing works
When you'll be billed
You will be billed for the first time on the billing date in your contract, or on the day your Ramp Plus free trial expires if you have a free trial. Your free trial expires one month after you sign up for Ramp Plus.
Monthly plans: Your plan renews automatically on the same calendar day each month. For example, if you are first billed for Ramp Plus on March 7, you will be billed again on the 7th of each month.
Annual plans: Your plan renews automatically on the same calendar day each year. Because Ramp Plus uses per-user pricing, you will also receive monthly statements for seat count additions during your annual term. For example, if you are first billed on October 12, your annual plan renews automatically on October 12 each year and you will also receive a monthly statement on the 12th for any seat count changes.
Note: Billing dates for Ramp Plus statements cannot currently be changed.
Monthly vs. annual billing
Ramp offers two ways to pay for a Ramp Plus subscription: a Monthly Plan and an Annual Plan.
Monthly Plan: You are billed at the beginning of each billing period for the number of seats you have enrolled in Ramp Plus at your monthly price. Any additions to your seat count are reflected in your next statement.
Annual Plan: You are billed upfront for one full year of Ramp Plus for the number of seats you have enrolled in Ramp Plus at a discounted monthly price. Any additions to your seat count are reflected on your next monthly bill.
Payment account for Ramp Plus
When you upgrade to Plus, you can choose the bank account Ramp uses for Ramp Plus subscription fees from Ramp Plus settings. If you have multiple entities, you can choose a bank account for each entity.
If you are an active Bill Pay user, Ramp also uses this billing account to debit your monthly Bill Pay fees.
Cancel your Ramp Plus subscription
You can cancel your Ramp Plus plan at any time. Your access continues until the end of your billing period for monthly plans, or the end of your paid period for annual plans.
To cancel, go to Statements & payments, open Settings, and select Cancel Subscription. Ramp Plus subscription fees are non-refundable.

Where can I find my Ramp Plus bill?
Ramp Plus charges appear on your billing statement. Admins can view and download subscription and fee statements from Statements & payments.
How can I apply cashback to my billing statement?
You can activate automatic deduction of available cashback for your next subscription and fees payment from Statements & payments.
Example 1:
- You have $500 in cashback.
- Your Plus monthly plan is $120 per month and Bill Pay fees total $20.
- Ramp automatically deducts $140 in cashback to pay for your Plus plan.
- You then have $360 in cashback remaining.
Example 2:
- You have $500 in cashback.
- Your Plus monthly plan is $1,100 per month.
- Ramp automatically deducts $500 in cashback and debits $600 from your linked bank account to pay for your Plus plan.
- You then have $0 in cashback remaining.
- Open Statements & payments .
- Select Next Bill under Subscription and fees .
- Select Activate under Pay with cashback balance to deduct available cashback for your next billing payment.
To turn this off, follow the same steps and select On for the next bill.
Frequently asked questions
Am I prepaying for the remainder of the year?
If you select an Annual Plan, you are paying for your entire annual subscription term upfront. See What happens if I add or remove a paid role? for details on how seat count changes are billed after your annual term starts.
How do credits work?
Ramp Plus credits can only be used on future billing statements. They are not transferable and cannot be used on other Ramp products, including your Ramp Card statement. Ramp Plus credits have no cash value.
How does proration work?
Ramp prorates subscription fees based on when a user is added to Ramp Plus. Proration is based on the amount of time remaining in both the current billing period and the subscription term when your seat count changes.

What happens if I add or remove a paid role?
Additions to your seat count during a billing period are reflected in the following statement. Changes to your seat count take effect at the end of each day.
Removing a user does not result in a refund or any credits.
Monthly Plans
If you add a seat, you will be charged a prorated amount of your monthly price based on the number of days remaining in the billing period.
Example: You are paying $15 per seat per month on a Monthly Plan and have 21 seats. Eleven days into your billing period, you add 2 seats. At the end of the billing period, your next statement will have the following line items:
- ($15 per month) x (23 seats) x (1 month) = $345 in charges for the following month's Ramp Plus plan
- ($15 per month) x (2 new seats) x (19/30 days remaining) = $19 in prorated charges for the new seats
- Your total amount owed will be $345.00 + $19.00 = $364.00 + applicable sales tax
You now have 23 paid seats for the remainder of the monthly contract period (19 days remaining).
Annual Plans
If you add a seat, you will be charged a prorated amount of your monthly price based on the number of days remaining in the billing period, plus the full monthly price for the remaining number of months in your subscription term.
Example: You are paying $12 per seat per month on an Annual Plan and have 20 seats. It is 3 months into your Annual Plan. Ten days into your fourth billing period, you add 3 seats. At the end of your fourth billing period, your statement will have the following line items:
- ($12 per month) x (3 seats) x (20/30 days remaining) + ($12 per month) x (3 seats) x (8 months remaining in your Annual Plan) = $312 in new charges
- Your total amount owed will be $312.00 + applicable sales tax
You now have 23 paid seats for the remainder of the annual contract period (8 months remaining).
Which specific user was attached to the seat charge?
Seat count changes take effect at the end of each day and reflect the date a user joined Ramp. To identify the user tied to a charge, go to Company > People, export your users, and review the Date User Joined Ramp column.
Is Ramp Plus subject to sales tax?
Individual states have different laws governing how software products, such as Ramp Plus, are taxed. Ramp uses your business address to determine whether Ramp Plus is subject to sales tax in your jurisdiction.
What if I am a tax-exempt business?
Submit your tax exemption documents, such as certificates and IDs, through Ramp Support. Ramp will exempt your business after reviewing them. If sales tax has already been charged, Ramp will process a refund.
What currencies can you use to pay your Ramp Plus statement?
At this time, you can only make payments toward your Ramp Plus statement in USD.
How does billing work for multi-entity companies?
Ramp Plus is enabled at the business level but billed at the entity level. If a business enables Ramp Plus, all of its entities are automatically enrolled in Ramp Plus.
For multi-entity businesses:
- Sales tax is computed using the business address, not the addresses of individual entities.
- Ramp Plus statement credits exist at the entity level and cannot be transferred between entities.
- Multi-entity businesses can set up separate bank accounts.
- Users are billed to the single entity their account is associated with, even if they have cards or activity associated with other entities.
How will Ramp Plus payments appear in my bank account?
Ramp Plus charges appear on your billing statement. These debits may show in your bank account as one of the following:
- RAMP SUB
- RAMP SUBSCRIPTION BILL
- RAMP FEES
- RAMP BILLING FEES

Can my statement reference my entity's DBA name instead of legal name?
Ramp Plus statements use the entity's legal name. Displaying a DBA (doing business as) name on statements is not currently supported.
