Roll over unused fund balances
Overview
Early Access. Ask your Ramp Admin to open Issue funds, select a weekly, monthly, or quarterly frequency, expand Spending controls and restrictions, and check for Allow unused balances to roll over. If the setting isn't shown there, rollover isn't enabled for your business yet.
Rollover lets unused balance on a recurring fund carry over to the next cycle instead of expiring when the limit resets. You set a Maximum balance that caps how much the fund can hold, including rolled-over amounts. Rolled-over balances reset once a year.
Who can turn on rollover
Owners, Admins, Finance Admins, and Custom Roles that can manage all funds (the Manage funds, cards, and spend requests permission) can turn on or change rollover. Managers cannot, even for funds they manage. If you don't have access, ask your Ramp Admin to change the setting.
To set up rollover in a Spend Program, you also need permission to create or edit Spend Programs. See Spend Programs creation and management.
Which funds support rollover
You can turn on rollover for recurring funds that reset weekly, monthly, or quarterly. Rollover isn't available for:
- Shared funds. The toggle is disabled with the caption "Rollovers cannot be enabled for shared funds."
- Single-use funds. The toggle is disabled with the caption "Rollover isn't available for single-use funds."
- Yearly, annual, and one-time funds. The toggle is disabled for these frequencies, including funds set to Does not repeat.
- Funds issued to yourself without self-approval. If you issue funds to yourself and your spend request approval policy doesn't allow self-approvals, the form is submitted as a spend request and rollover is unavailable with the caption "Self-approvals must be enabled to issue funds with rollovers to yourself." See Setting up spend request approvals.
Turn on rollover when issuing funds
- Go to Issue funds and fill in the fund details, including a weekly, monthly, or quarterly frequency.
- Expand Spending controls and restrictions.
- Turn on Allow unused balances to roll over.
- Enter a Maximum balance. It's required when rollover is on, must be greater than zero, and must be at least the fund's base amount.
- Finish issuing the funds.
For the rest of the issuing flow, see Issuing a Ramp card or funds.
Turn on rollover in a Spend Program
- Create a Spend Program, or edit an existing one.
- Expand Any restrictions?.
- Turn on Allow unused balances to roll over and enter a Maximum balance.
- Save the program.
Funds issued from the program use its rollover settings. The form for issuing funds from a program doesn't show the rollover setting. When you change a program's rollover settings, choose whether to apply the changes to existing funds or only to new funds. See Spend Programs creation and management for program steps.
Change rollover on an existing fund
Open the fund's edit form and change Allow unused balances to roll over or Maximum balance under Spending controls and restrictions. See Requesting a change to or editing your cards or funds for how to open the edit form.
- Funds from a Spend Program: You can change rollover on an individual fund so it differs from the program. When you later edit the program, the review step flags funds with a manually edited rollover setting.
- Turning rollover off: Accrued rollover is cleared. If you turn it back on, accrual starts over.
- When you can't edit: The edit form is read-only for terminated funds and for funds with a pending request.
How rollover amounts are calculated
- What rolls over: At the end of each completed cycle, the unspent part of the fund's limit for that cycle is added to the rollover balance.
- When rollover is used: Rollover is used only when spending in a cycle goes above that cycle's limit.
- Maximum balance: The fund's limit plus rollover can't exceed the Maximum balance. Any unused amount above the cap doesn't carry over. For example, a USD 1,000 monthly fund with a USD 1,700 Maximum balance can roll over at most USD 700.
- Turning on rollover partway through: The cycle in progress when you turn on rollover counts. Cycles that ended before that don't.
- Annual reset: Rolled-over balances reset once a year, so unused balances don't carry into a new year.
- Reversed transactions: Rollover is recalculated from the fund's spend, so if a completed cycle's counted spend decreases later in the year, such as when a transaction is reversed, rollover increases.
- Temporary limit increases: Unused temporary increases don't roll over, and spending within a temporary increase doesn't use rollover. See Temporary changes to spending limits on your card or funds.
- Permanent limit changes: A permanent limit change made during a cycle applies to that entire cycle's rollover calculation.
See rollover balances on a fund
When rollover is on, the fund shows:
- Amount bar: The amount rolled over into the current cycle, shown as an amount followed by "rolled over", and a remaining amount that includes rollover.
- What's issued?: In the fund or Spend Program details, a line such as "Unused balances roll over to next month" and the Maximum balance.
- Funds table: An Accrued rollover column.
