How to use cashback rewards
Note: This article primarily applies to Ramp Administrators. Cardholders may find other articles in the Savings and rewards section to be more applicable.
Overview
Cashback can be redeemed by Admins or Business Owners in Ramp for:
- Card statement payments
- Cash in Ramp Checking Account
- Payment toward subscription and fees (Ramp Plus, Bill Pay Fees, etc.)
- Airline and hotel loyalty points
- Gift cards
- Charities
Your cashback will continue to accrue over time and will not expire. You can view your company's earned and redeemed cashback activity in the Company > Rewards > Rewards activity.
Applying cashback to reduce or pay a card statement payment
You can redeem cashback to reduce your card statement balance at anytime in the Rewards or Company > Statement & paymentstab, as long as you don't have any outstanding balances to Ramp. Any cashback redeemed for card statement payments will be applied immediately to reduce your current statement balance and reflected in the upcoming statement.
From Company > Rewards tab:
- Click Reduce card balance
- Type in the amount you want to redeem for your card statement
From the Company > Statement & paymentstab :
- Click Payments
- Click Redeem cashback
- Type in the amount you want to redeem for your card statement
Cashback can be applied to your card statement through manual redemption. At this time, we don’t offer automatic redemptions.
Redeeming cashback directly into Ramp Checking Account
You can redeem cashback directly into your Ramp Checking Account, turning points into usable operating funds instantly.
From Company > Rewards tab:
- Click Initiate transferunder Deposit cashback
- Enter the amount to redeem
- Choose your destination Ramp Checking Account (if you have more than one)
- Click Initiate transfer
- Your cashback will appear in the selected Ramp Checking Account immediately
If you don’t have a Ramp Checking Account yet, you can open one during the redemption flow.
Callouts:
- USD only: Cashback can be redeemed into Ramp Checking Account in USD only.
- Entity pooling: Rewards are pooled across all entities and redeemed into the selected Ramp Checking Account.
- Accounting: Cashback redemptions appear in Accounting > Banking as incoming transfers and can be categorized as needed.
- Partial points: Points are redeemed in whole-point increments. Fractional points carry forward until they accumulate into whole points.
- Ramp Checking Account only: Cashback can only be redeemed into a Ramp Checking Account. Cashback cannot be redeemed into a bank account.
- Refunds: Completed cashback redemptions to your Ramp Checking Account are final. Once cashback has been redeemed and deposited into a Ramp Checking Account, the redemption cannot be reversed or undone.
Applying cashback toward subscription and fees (Ramp Plus, Bill Pay fees, etc.)
You can apply cashback toward Ramp Plus subscription fees, Bill Pay fees, and other charges. Activate automatic deduction of available cashback to pay for your billing statement. Here's how it works:
Example 1:
- You have $500 in cashback
- Your Plus monthly plan is $120/month and Bill Pay fees accumulate to $20.
- Ramp automatically deducts $140 in cashback to pay for your Plus plan
- You then have $360 available in cashback
Example 2:
- You have $500 in cashback
- Your Plus monthly plan is $1100/month
- Ramp automatically deducts $500 in cashback and debits $600 from your linked bank account to pay for your Plus plan
- You then have $0 available in cashback
From the Company > Statements & payments tab:
- Click Settings
- Toggle on the Redeem cashback settings to deduct available cashback for your next Ramp Service payment
Applying cashback toward airline and hotel loyalty points
You must have the member ID of the recipient of the loyalty points, and their name in Ramp must match their name in their loyalty account.
Example: for a person named Robert Smith, their Ramp account and loyalty program account must both be under the same name. The redemption will fail if one account is under “Bob Smith” and the other is “Robert Smith.”
- Go to Company → Rewards
- Find the loyalty program you want to redeem for
- Select who the recipient is
- Type in the member ID of the loyalty program for the recipient
- Type in the number of loyalty points the recipient should receive
- Note: There is a minimum of 100 loyalty program points
- The recipient should see the points reflected in their loyalty program account in two business days once the credit has been processed by the loyalty program
Note: All loyalty point transfers are final. Once a transfer has been initiated, it cannot be canceled or reversed.
Applying cashback toward gift cards
The digital gift card will be sent to the email they sign into Ramp with. Recipients should receive the email within 24 hours after the redemption is completed. Please be sure to check your Spam or junk folders.
- Go to Company → Rewards
- Find the gift card you want to redeem for
- Select who the recipient(s) is
- You may bulk send gift cards to recipients (i.e., send $50 gift cards to 5 different recipients) but cannot bulk send to a single recipient (i.e., send 20 $50 gift cards to a single recipient)
- Select the amount for the gift card
- (Optional) Add a note that will be included in the email the recipient(s) receives
- Recipient(s) will receive an email with a code and link to redeem the digital gift card within 24 hours after the redemption is completed. The gift card will also appear on the recipient's homepage in the Redeem rewards section. If needed, you can resend the gift card from the Rewards activity page.
Gift cards are issued in USD and can only be used in USD.
Donating cashback toward charities
The confirmation will be sent to the email of the initiator. Initiator should receive the email within 24 hours after the redemption is completed. Please be sure to check your Spam or junk folders.
- Go to Company → Rewards
- Find the charity you want to redeem for
- Select the amount to donate
- Initiator will receive an email with the confirmation within 24 hours after the redemption is completed

How can I use my cashback?

What happens to any cashback accrued for a refunded transaction?
- Ramp will negate cashback for a refunded transaction where cashback was accrued. For example, a $1,000 transaction earned $15 in cashback. Later, $500 of the transaction was refunded. Ramp would then negate $7.50 of your overall accrued cashback.
What will sync to my accounting provider?
- Only cashback redeemed for statement payment will sync to your accounting provider
- Please use your Activity tab on the Rewards page to see your full redemption activity across cashback, gift cards, and airlines and hotel loyalty programs
Can I cancel or reverse a cashback redemption?
- Cashback redemptions are final and cannot be canceled or reversed once initiated. This applies to all redemption types, including card statement payments, Ramp Checking Account deposits, loyalty point transfers, gift cards, and charity donations. If you need assistance with a redemption, please contact Ramp's Support team .
Can I combine my cashback between entities?
- Cashback rewards can only be redeemed by the same entity that accrued them.
- Cashback cannot be transferred or combined between entities.

Which airline and hotel loyalty programs are available?
- Several global airlines and hotel loyalty programs are supported

Who can I redeem airline and hotel loyalty program points for?
- Admins and business owners can redeem for themselves or on behalf of their employees
- You need the member number of the receiving person, and their name in Ramp must match their name in the loyalty program
How long will it take to receive the points to the loyalty program account?
- Loyalty transfers typically take up to 7 business days to be reflected in the member’s loyalty account
- If you do not see the points are 7 business days, please reach out to Ramp support

How many gift cards are available?
- Over 200 brands are available
- The Company > Rewards tab lists all gift cards available
Who can I redeem gift cards for?
- Admins and business owners can redeem gift cards for themselves or on behalf of their employees
How long will it take to receive the gift card?
- Recipients will receive an email to the account used to sign-in to their Ramp account with a code and link to redeem the digital gift card
- The email should be received within 24 hours of the redemption completion
- If the recipient does not receive the email within 24 hours, check Spam or junk folders first. You can also resend the email from Rewards activity by finding the gift card and clicking Re-send email .
Can I cancel or return a gift card?
- We are unable to process any cancellation or return of a gift card.
Do unused gift card rewards expire?
- No, gift cards do not expire.
How do I resend a gift card email?
- Go to Company > Rewards and click Rewards activity . Find the gift card in the activity list and click Re-send email . The recipient will receive a new email with the gift card code and redemption link.
What should I do if I accidentally deleted the gift card reward email?
- Go to Company > Rewards , click Rewards activity , find the gift card, and click Re-send email to receive a new copy of the gift card email.
