Below is a quick guide on how employees can submit procurement requests on Ramp.

Submit a procurement request
Submitting a procurement request is simple and easy.
Request spend from a spend program
Sign in to Ramp and click the "Request spend" yellow button in the top right corner here. Look at the "Spend programs" section and select the request you'd like to make.
Upload a contract or quote for automated intake
You can upload a contract or quote and Ramp will auto-fill the line items and amounts. You can also fill it out manually and edit any information.
Fill out the request manually
Fill in the required questions on the form. You'll need to select the frequency (one-time or recurring), add service start/end dates, and the line items for the request. All other questions & accounting fields on this form are added by your administrator, so any questions/feedback should be directed to them.

Approvals
At the bottom of the request, you'll see the approvals required to issue the request. The request can be edited by the requestor, admins, or bookkeepers at any time during the approval process. If the request is edited after it has been approved by a previous stakeholder, the approval chain will restart.
Note: Depending on your role or the approval policy in place, a request can instantly generate a PO or issue a card once the request is submitted.
Request States
A procurement request can be in 4 states:
- Approved: Request has been fully approved by stakeholders within the approval chain. A card or PO has been issued.
- Rejected: Request has been denied by an approver or admin. Rejected requests cannot be undone.
- Pending approval: The request is actively being approved by stakeholders in the approval chain
- Archived: Request is no longer active. Archived requests cannot be undone.
Track your procurement request
Ramp makes it easy for you to get the latest updates on your procurement request by centralizing approvals and comments in one place.
Requests Table
View any pending procurement requests in the requests table. They will also appear in the bottom right on My Ramp. You can hit "Remind" once a day to send a reminder to approvers.
View Activity & Documents
Click into a request to see approvals or any comments in the "Activity" tab. You can make comments and tag people directly. You'll be notified about comments and mentions via email and Slack integration (if enabled). Additionally, you can view any documents you uploaded while submitting the request (if any), or upload anything new that may be relevant for the request.
PO Issued
Once all the approvals are completed, you'll be issued an open Purchase Order (PO).
