Bill Pay for Canadian businesses

Overview

Ramp Bill Pay is available for eligible Canadian businesses, allowing finance teams to upload vendor invoices, route them for approval, and pay directly from a connected CAD bank account — all within Ramp.

How Bill Pay works

  1. Upload an invoice to Ramp Bill Pay as a PDF, or enter the details manually.
  2. Ramp's automated extraction reads the vendor name, invoice amount, due date, tax, and other key details.
  3. A finance admin reviews the invoice, applies the appropriate expense codes and tax treatment, and routes it for approval.
  4. Once approved, Ramp initiates payment from your connected CAD bank account.
  5. The vendor receives payment via EFT.

Eligibility

Your business must meet all of the following requirements to use CAD Bill Pay:

Supported payment methods

CAD EFT (electronic funds transfer)

The primary payment method for domestic vendors. Funds are sent directly to the vendor's Canadian bank account. No additional fee.

International and multi-currency payments

You can also pay vendors in USD, EUR, GBP, and other supported currencies directly from your CAD bank account. Ramp handles the currency conversion automatically at the time of payment.

Note: Bill Pay must be funded from a CAD bank account. Canadian-domiciled USD bank accounts cannot be used as a funding source for Bill Pay at this time.

Setting up Bill Pay

  1. Confirm your entity has completed Canadian KYB. If you have already set up a Ramp card program or reimbursements, this step is done.
  2. Ensure your QuickBooks Online, Xero, NetSuite OneWorld, Sage Intacct, or uCSV account is connected under Settings > Accounting .
  3. Navigate to Bill Pay in your Ramp account.
  4. Connect your CAD bank account as the payment funding source under Settings > Bank accounts .
  5. Begin uploading invoices or invite vendors to submit their payment details through Ramp's Vendor Portal.

Adding and managing vendors

Domestic vendors must provide their Canadian bank details to receive EFT payments::

International vendors will be prompted to provide the bank details required for their region during setup.

Vendors can enter their payment details directly through Ramp's Vendor Portal, or an admin can add vendor details manually under Bill Pay > Vendors.

First-time payments to a new vendor may take additional time while their details are verified. Subsequent payments to verified vendors process on the standard 7-business-day timeline.

Accounting sync and tax coding

Bill Pay transactions sync automatically to your connected accounting software. During the review step, your team can apply GST, HST, or PST codes as applicable — Ramp carries these tax codes through to the accounting sync so your books reflect the correct tax treatment.

Tax coding on bills uses the manual workflow — your team applies the applicable code during invoice review before approving payment. Before processing your first Bill Pay payment, confirm that your chart of accounts and tax settings are configured correctly in Settings > Accounting.

Note: Tax code syncing is supported for QuickBooks Online, Xero, NetSuite OneWorld, and Sage Intacct. It is not currently supported for uCSV exports.

Ramp's approval workflows apply to Bill Pay in the same way they do for card transactions and reimbursements. You can:

Frequently asked questions

Can I pay US vendors using Canadian Bill Pay?

Yes. You can pay USD-invoiced bills to US vendors directly from your connected CAD bank account. Ramp handles the currency conversion automatically — no separate USD account is needed. Payment timelines follow the standard Bill Pay processing window.

Note: Bill Pay must be funded from a CAD bank account. Canadian-domiciled USD bank accounts cannot be used as a funding source for Bill Pay at this time.

Why is my bill payment taking longer than expected?

CAD EFT payments have a minimum timeline of 2 business days. If a payment appears significantly overdue beyond this window, check the payment status under Bill Pay > Payments in your Ramp account or contact Ramp Support.

Can I use Bill Pay without completing KYB?

No. Canadian KYB is required to use Bill Pay. If you have already completed KYB for your card program or reimbursements, no additional verification is needed.

My company uses NetSuite — can I still use Bill Pay?

Yes. NetSuite OneWorld is supported for CAD Bill Pay.

Can I pay vendors in currencies other than CAD?

Yes. You can pay vendors in USD, EUR, GBP, and other supported currencies directly from your CAD bank account. Ramp handles the currency conversion automatically at the time of payment.

Can I schedule bill payments in advance?

Yes. Once an invoice is approved, you can schedule the payment for a future date. Payments will typically take 2-3 business days to clear.
