Vendor verification

Overview

Vendor verification helps confirm two things before you pay a vendor through Ramp: the account can receive deposits, and the account belongs to the vendor. When available, a secure bank connection can complete both checks automatically. If direct linking is not available, the vendor may need to complete micro-deposit verification or provide a bank statement for manual review.

Request vendor verification

To request vendor verification, request ACH payment details from the vendor instead of entering ACH details yourself. Include bank account confirmation in the request when you need the vendor to provide verified ACH details. Ramp sends the vendor a secure email from [email protected] with a link to submit their information.

You can request details when you:

If the vendor already has a Ramp Vendor Portal account, the request goes to the default vendor contact or to all users in the Vendor Portal account. Request links expire after 14 days for security, and you can resend or re-request details from Ramp.

What vendor verification consists of

Vendor verification can include deposit verification and bank account ownership verification. Deposit verification confirms that the account can receive and return Ramp's verification transfers. Bank account ownership verification confirms that the account is associated with the vendor, either through bank connection data or through manual evidence such as a bank statement or bank verification letter.

The exact method depends on how the vendor submits their ACH details:

What vendors do to complete verification

Vendors complete verification from the secure email link or from their Vendor Portal account. They do not need a Ramp Vendor Portal account to submit requested payment details, but creating one lets them manage payment details and share stored details with future customers.

The vendor's steps depend on how Ramp completes each verification check:

  1. Open the secure request: The vendor opens the email from [email protected] or signs in to Vendor Portal to view the request.
  2. Submit ACH details: The vendor connects their bank account directly or enters their routing and account numbers manually. A secure bank connection can add or confirm payment details automatically.
  3. Complete deposit verification: If the vendor enters ACH details manually, Ramp sends two deposits under $1 and one withdrawal equal to the sum of the deposits. After the transfers settle, the vendor follows the email prompt to enter the two deposit amounts.
  4. Complete bank account ownership verification: Ramp may verify ownership from secure bank connection data. If the vendor cannot connect their bank directly, they may need to upload a bank statement or bank verification letter so Ramp can manually review whether the account belongs to the vendor.
  5. Share verified payment details: After the required checks are complete, the vendor can share the confirmed bank account with the customer requesting verified payment account information.

What happens after verification

After the vendor submits payment details, Ramp updates the vendor profile and notifies you that the requested information is available. If the vendor confirms bank account details, Ramp shows the payment details as verified so you can distinguish verified ACH details from unverified details before paying the vendor.

If verification fails, the vendor receives an email asking them to update their ACH information. Payment may be delayed until valid payment details are available, but you can add payment details manually if needed.

Frequently asked questions

Can vendors complete verification without a Vendor Portal account?

Yes. Vendors can submit requested payment details from the secure request link without creating a Ramp Vendor Portal account. A Vendor Portal account is optional and helps vendors track payments, manage payment details, and reuse stored details for future requests.

How long does micro-deposit verification take?

Micro-deposit verification can take up to four business days from initiation to settlement. The vendor can complete verification after the deposits appear in their bank account and they enter the two deposit amounts in Ramp.

What if a vendor cannot connect their bank directly?

If direct bank linking fails or is unavailable, the vendor can add bank details manually. When direct linking is blocked by OTP or MFA requirements, the manual bank account connection process consists of providing a bank statement.
