What is the reconciliation report?
The reconciliation report helps you compare your Ramp card spend with the records in NetSuite. It shows both sets of data side by side so you can spot any gaps or mismatches. Use it at month-end to make sure your books are correct before you close.

How does it work?
Ramp pulls your NetSuite records and matches them against your Ramp spend. Each pair is marked as one of the following:
- Match -- The Ramp record and NetSuite record agree.
- Mismatch -- There is a difference in amount, date, or account.
- Not synced -- The Ramp record has not yet been sent to NetSuite.
- Not found in NetSuite -- The record was synced but is missing in NetSuite.
- Not found in Ramp -- A NetSuite record has no matching Ramp record.
- Period shift -- The record was posted to a different month in NetSuite.
The report also includes a balance summary for both Ramp and NetSuite. This summary shows the starting balance, ending balance, card spend, payments, and cashback for each side.

How to run a reconciliation report
- You can find this tool by going to Accounting → Click the 3 dots next to Settings → Reconciliation Report. Please note that this tool is available only to U.S.-based entities at this time.
- Pick the month you want to review.
- Choose the NetSuite account (or accounts) to include.
- Click Refresh to pull the latest data from NetSuite.
- Review the results. Filter by All , Mismatches , or Period shifts as needed.
- Export the report as a CSV or PDF when you are ready.

The CSV file lists every record with fields from both Ramp and NetSuite:
- Ramp ID, amount, date, merchant, and entity
- NetSuite ID, amount, date, vendor, and reference number
- Mismatch reason (if any)
- Links to both the Ramp and NetSuite records
The PDF includes:
- A balance summary for both Ramp and NetSuite
- A table of Ramp records with a running balance
- A table of NetSuite records with a running balance
- Counts and totals for any gaps
For large reports (more than 350 records), Ramp builds the PDF in the background. You will get an email with a download link when it is done. The link is good for 24 hours.
Fixing mismatches
When you spot a gap, here is what to do:

| Not synced | Sync the item from Ramp to NetSuite. |
| Amount mismatch | Check the Ramp record and the NetSuite record for errors. Fix the wrong one. |
| Date mismatch | Confirm the correct post date in both systems. |
| Not found in NetSuite | Re-sync the item from Ramp, or add it to NetSuite by hand. |
| Not found in Ramp | This may be a record added in NetSuite outside of Ramp. Review and remove it if it is a duplicate. |
| Period shift | The record was posted to a different month. If this is correct, no action is needed. |
You can also use the manual match option to link a Ramp record to a NetSuite record yourself if the system did not match them.
Accounts and entities
If your business uses more than one entity in NetSuite, you can filter by entity. You can also run the report across all USD accounts at once for a full view.
Frequently asked questions
How far back can I run a report?
You can view up to four months of past data. If you need to go further back, reach out to Ramp support.
Can I reconcile records in more than one currency?
Not at this time. All records in the report must share the same currency as the selected account.
What does "synced via CSV" mean?
This means the record was exported from Ramp as a CSV file and marked as synced. Ramp cannot match it to a NetSuite record because it was not synced through the direct link.
Why is my report still loading?
Large reports take more time. If the report has more than 350 records, Ramp builds it in the background and sends you an email when it is ready.
Can I refresh the data?
Yes. Click Refresh on the report page to pull the latest data from NetSuite. Only one refresh can run at a time.
What if a record was posted to a different month in NetSuite?
This shows up as a "period shift." Both records still appear in the report, but in different months. If this is correct, no fix is needed. The report adjusts the balance to account for it.
Who can access the report?
Any user with the Accounting Sync read permission in Ramp can view and export the report.
My download link stopped working. What happened?
PDF download links expire after 24 hours. Run the report again to get a new link.
I see "Not found in NetSuite" for a record I know was synced. Why?
This can happen if the record was deleted or voided in NetSuite after it was synced. Check NetSuite to confirm the status of that record.
