Manage Glass access and project permissions
Overview
Manage who can use Glass, who can manage company settings, and who can work in each project. This guide is for Glass admins and people who manage a project's sharing; those permissions are separate.
These steps are for companies already using Glass; otherwise, see Glass access options.
Check which Glass permission you need
Before inviting teammates or changing their Glass roles, check that Users is available to you; the project steps require access to the project's Share panel.
Signing in with Ramp does not by itself grant Glass access. A teammate needs an active account with Glass access in the intended business before project sharing can help them.
Glass admin access lets you manage Glass company settings. It does not grant full Ramp admin permissions or bypass a project's access restrictions. Ramp Owners and Admins have Glass management access by default.
Project access determines what you can do in a particular project. If you need to change a project's sharing but the controls are unavailable, ask someone with Full access to that project. For a sign-in or account problem, use Fix Glass sign-in and access problems.
Invite a new teammate to Glass
These steps apply to Glass admins who have Users available. Open Users in Glass. The account menu's Organization settings opens company settings; if you cannot access Users, ask another Glass admin to check your permissions and whether user management is available for your company.
- Select Invite users.
- Enter the teammate's Email address and choose a Role. User is the default; choose Admin only if the teammate should manage Glass.
- To add another person, select Add another user.
- Select Send invites.
If Glass says an address already belongs to someone in your company, find that existing teammate on Users instead of sending another new-user invitation.
Resend an invitation: Open the invited teammate's details and select Resend invite when offered. If Glass refuses the request, address the reason shown before trying again. A successful submission is not confirmation that the recipient received or accepted the invitation.
Change a teammate's Glass role
If you have Users available, open Users in Glass, find the teammate and change their role to Admin or User. You can also open their details and use Glass role. Selecting a different role submits the change; check for an error beside the control.
You cannot change your own Glass role here. Ask another Glass admin to make that change. Administration inherited from a Ramp Owner or Admin role cannot be removed with this control; the underlying Ramp role must be reviewed instead.
Changing Admin to User removes the Glass admin add-on, not the person's other Ramp roles. Do not use that change as a way to remove all Glass access. To review or change the person's underlying Ramp role, see Edit a user's role.
Choose who can access a Glass project
Open the project in Glass and select Share. Check Project access as well as the member list before adding company information:
- Only people invited limits project access to people granted access.
- Everyone lets people in the same business who have Glass access read the project without joining. The member list is not a complete list of everyone who can open it. Everyone access alone does not grant permission to chat or change files.
Changing Project access requires Full access. Choose Only people invited if the project should not be readable across your business. Copy link copies a URL; it does not grant access to an invite-only project.
Restricted chats have their own access boundaries: project access does not mean a teammate can open every chat. However, project context can include information derived from chats that the teammate cannot open. Do not treat a restricted project chat as a guarantee that its information cannot inform shared project context.
Add teammates to a Glass project
Project invitations select existing people in your business; they do not create a new company account or grant Glass product access. If the teammate is new, complete the new-teammate invitation first.
- Open the project and select Share.
- Use Add people to find and select the teammate by name or email.
- Choose Can use to let them chat and manage files, or Full access to let them edit, use, and share the project. New selections default to Can use.
- Select Invite.
You need permission to manage sharing; assigning Full access also requires permission to manage project owners. If Keep your plugins on in this project? appears, review the accounts before selecting Share project: people in the project can use the accounts you keep enabled through Glass. Cancel if that is not the access you intend to share.
Change or remove a Glass project member's access
Open the project's Share panel and use the role menu beside the member to choose Can use, Full access, or Remove. The available changes depend on your project permissions; changing or removing someone with Full access requires permission to manage project owners. Glass can require another sharing manager before allowing a removal.
Removing a project membership does not remove Glass product access. In an Everyone project, that person can still read through the project's general access. Review Project access before treating removal from the member list as a loss of all access.
