Receipt auto-capture
Overview
Ramp can automatically capture and attach receipts to your transactions from select merchants. There are two ways this works:
- Standard auto-capture — Ramp sends transaction details to select vendors on your behalf to retrieve receipts. No setup is required.
- Merchant receipt collection — You connect your merchant accounts by providing sign-in credentials, and Ramp retrieves receipts directly from the merchant website on your behalf.
Employees can also submit receipts manually at any time. See Submitting receipts, memos, and accounting for your Ramp transactions.
Standard auto-capture
With standard auto-capture, Ramp retrieves receipts using your transaction details. No account credentials or setup are required from you.
Supported vendors
Standard auto-capture is currently available for Adobe, Air Canada, American Airlines, Amtrak, Delta, Dropbox, Frontier, JetBlue, United, Walmart, WebstaurantStore, and vendors that process payments using Square. Ramp also maintains direct integrations with additional vendors.
How standard auto-capture works
Ramp may need to provide certain transaction details to the vendor where you made the purchase (such as your name, email, booking confirmation or ticket number, purchase date, last four digits of the card used, or zip code) in order to retrieve receipts. Receipts may not be captured if the information sent to the vendor does not match the passenger or purchaser information — for example, when one person books on behalf of another person. Merchant receipt collection
Merchant receipt collection lets Ramp sign in to supported merchant websites on your behalf to retrieve receipts and match them to your Ramp transactions. Unlike standard auto-capture, this requires you to provide your merchant sign-in credentials.
This feature is currently available for US-based businesses. Amazon is currently the only supported merchant. Additional merchants may be added in the future.
How merchant receipt collection works
- Go to Settings > Automations and select Merchant receipt collection.
- Select a supported merchant and enter your sign-in credentials (email or phone number, and password).
- Complete one-time verification — the merchant may send you a verification code to confirm your identity.
- Once connected, Ramp automatically retrieves receipts when you make purchases at that merchant and matches them to your Ramp transactions.
You may also see a prompt to connect your merchant account directly from a transaction page when you open a transaction from a supported merchant.
Credential security
- Passwords are encrypted in your browser before being sent to Ramp and are stored in an encrypted vault.
- Your credentials are never shared and are only used to retrieve receipts from the merchant on your behalf.
- You can remove your stored credentials at any time from Settings > Automations > Merchant receipt collection.
For more information, refer to our Privacy Policy.
Merchant receipt collection limitations
- Available for US-based businesses only.
- Each employee connects their own merchant accounts — credentials cannot be shared or set up on behalf of another user.
- Transactions must be within 30 days to be eligible for automatic receipt capture.
- Refund transactions are not eligible.
- If your credentials become invalid (for example, after changing your merchant password), you will need to reconnect from Settings > Automations > Merchant receipt collection.
Opting out
For admins
Administrators can opt out of receipt auto-capture on behalf of the entire company. On the Ramp web app, go to Company > Expense policy > Expense requirements and toggle Automatically collect receipts off.
For employees
You can opt out of receipt auto-capture at any time. Go to Settings, click Edit profile under the Personal tab, open the Privacy tab, and toggle Automatically collect receipts off. If you do not see this option, your company administrator has opted out of this feature for all users, or your company is not eligible.
To remove stored merchant credentials for merchant receipt collection specifically, go to Settings > Automations > Merchant receipt collection and select Remove credentials for the merchant you want to disconnect.
