The Simplified Workflow Builder is a new experience designed to make managing approval workflows more intuitive and efficient. It introduces a streamlined interface for creating, editing, and testing expense approval policies, offering advanced customization and visibility features.

What are the key benefits of this new experience?

• Efficiency: Easily toggle between defaults and custom workflows without multiple screens.
• Customization: Create granular conditions and workflows tailored to your organization's needs.
• Visibility: Improved navigation and visibility for long or complex workflows.
• Control: Test, undo, and redo changes seamlessly for error-free adjustments.

How can I access the simplified workflow builder?

• Navigate to Policy: Go to the Policy page, where your approval and submission policies are listed.
• Select a Policy: Click on an expense category (e.g., Expenses) and select any policy to see the new experience.
• Explore Defaults or Customization:
  • Choose from predefined default policies such as:
    • Managers only approve reimbursements.
    • Managers approve everything.
    • Admins approve all transactions.
  • Customize policies by adding approvers or clicking Advanced to enter the Workflow Builder.

What features does the workflow builder offer?

• Condition and Step Management:
  • Add, edit, or delete conditions and steps directly in the interface.
  • Expand and collapse conditions for better visibility, especially in long workflows.
  • Add nested conditions for specific scenarios.
• Search Functionality: Quickly locate steps or policies using the search bar.
• Undo and Redo Options: Easily reverse or reinstate changes using the new undo/redo buttons.
• Testing and History: Test your workflow using the simulator and access history on the right panel. Please note that workflows execute based on the first condition met, starting from the top.

How do I handle variations in spend requests and other policies?

• Spend requests and other approval policies have a slightly different layout:
  • Summary Preview: These display a summary of the full workflow.
  • Editing: Click ' Edit' to open the full-screen Workflow Builder for changes.
