Set up payroll funding from Ramp Banking
Overview
Use a Ramp Checking Account or Ramp Operating Account to fund payroll through your payroll provider. Most providers debit the account through ACH. Send an outbound wire from Ramp only when your provider supplies wire instructions to fund an approved pay run. If the provider requests a wire drawdown instead, follow Set up wire drawdowns for a payroll provider.
Ramp does not calculate payroll, file payroll taxes, or create paystubs. Complete payroll setup and processing in your payroll provider.
Prepare your Ramp account for payroll
Before adding a Ramp account to your payroll provider, confirm that you have the account and routing numbers for the account you want to use. Configure external debit controls before the provider initiates its first ACH debit.

- Open Account details for the Ramp account you want to use for payroll.
- Copy the account and routing numbers to enter in your payroll provider.
- If your Ramp account uses Allow only trusted vendors, add the payroll provider's Originator ID before its first ACH debit. Ask the provider for its Originator ID if you do not have a prior debit to review.
- If the provider requests account-verification or ACH-authorization documentation, download the document it accepts using the steps below.
- Complete any verification or test debit requested by the provider before your payroll deadline.
Download documents for payroll provider verification
Ask your payroll provider which document it accepts. A voided check, bank verification letter, ACH authorization confirmation, and wire instructions serve different purposes.
- Bank verification letter: Confirms your account details. Open Account details, select the relevant account, open the account menu, and select Download bank letter. You can also open Bank letter. Bank verification letters are available for active Ramp Checking Accounts and Ramp Operating Accounts.
- Voided check: Provides a voided check PDF with your account information when the option is available. Open Banking or Account details, select the Ramp Checking Account, and download the voided check. Voided checks are not available for Ramp Operating Accounts.
- Authorization confirmation: Confirms that a payroll provider is authorized to debit a Ramp Checking Account by ACH. In Account details, open the account menu, select Download bank letter, then select Authorization confirmation. This document is not available for Ramp Operating Accounts. If your debit setting is Allow only trusted vendors, include the payroll provider's configured Originator ID. If it is Allow all, do not use the letter as proof that a blocked provider is authorized; remove the provider from Blocked vendors or change to Allow only trusted vendors and add its Originator ID before sharing the letter.
- Wire instructions: For a wire drawdown, provide the account and routing details only from a Ramp Checking Account. In Account details, select View wire instructions or download the wire instructions. Wire instructions are available after the account is active. Ramp Operating Account does not support wire drawdowns; use ACH funding or a provider-required outbound wire instead.

Set up ACH funding with common payroll providers
Add the Ramp account as your company's payroll funding account. Do not use an employee direct-deposit setup flow; that flow controls where an employee receives pay rather than where your provider debits payroll funds.
- ADP: Follow ADP's payroll setup guide to provide company and payroll funding details.
- Gusto: Add the Ramp account as your company bank account in Gusto. Gusto uses the selected account for payroll, taxes, and applicable fees.
- Paychex: Sign in to Paychex Flex and complete the payroll bank-account configuration for your Paychex product. This workflow varies by product; use Paychex Client Admin Support if your product does not show a bank-account option.
- QuickBooks Payroll: Follow QuickBooks Payroll's company direct-deposit setup to connect the Ramp account.
- Rippling: Add or replace your payroll funding account using Rippling's payroll bank-account instructions. Rippling may require a first payroll funded by wire after you add or change the account.
Fund a Rippling payroll by wire
If Rippling requires a wire to fund your first approved pay run, send an outbound wire from Ramp. This is not a wire drawdown: you initiate the wire from Ramp, and Rippling receives it.
- Add the Ramp account as your payroll funding account in Rippling and complete Rippling's verification steps.
- Approve the pay run in Rippling before its payroll deadline.
- Open the approved pay run in Rippling and copy its exact wire instructions, including the amount, deadline, wire code, and recipient bank details.
- Open Move money in Ramp and create an outbound wire using the wire instructions from Rippling.
- Include the wire code exactly as Rippling provides it so Rippling can match the wire to the pay run.
- Submit the wire before Rippling's deadline and confirm that Rippling received the funds.
Important: Send the exact amount and use the wire details shown for the approved Rippling pay run. A wire that Rippling cannot match to the pay run can delay payroll funding.
Set up wire drawdowns for a payroll provider
Some payroll providers can pull payroll funds through a wire drawdown, also called a reverse wire. Wire drawdowns are available only for Ramp Checking Accounts. Use this method only when your provider instructs you to do so.
- Open Account details for the Ramp Checking Account the provider should pull from.
- Copy the account and routing numbers, or download the wire instructions, and share them with the provider. No separate authorization letter is required.
- If the provider sends a verification drawdown, an assigned approver must review and approve it in Ramp Banking. If you are not an assigned approver, ask one to approve the request or ask a Ramp Admin to update the approval workflow.
- For future requests, choose Approve & trust only when you are confident the provider should pull funds without manual review.

Frequently asked questions
Can I use a payroll provider that is not listed?
Yes. Use the provider's company-bank setup to add your Ramp account if it supports ACH debits or wire funding. Configure external debit controls before the provider pulls payroll funds.
Can I use Ramp Operating Account for payroll?
Yes. Ramp Operating Account supports third-party ACH debits for payroll. It does not support wire drawdowns. See Ramp Operating Account overview for account capabilities.
