Overview
- Users can now select both free and paid seats at checkout natively within Ramp Travel.
- This eliminates the extra step of visiting the airline site to choose a seat, honors loyalty-status perks, and keeps seats and flight purchases in a single approval flow.
How it works
Step 1
Start a flight search in the Ramp Travel booking portal—enter destination, dates, passengers, and filters, then choose your preferred itinerary.
Step 2
On the checkout page, click the select seats button to be presented with a map of availability for the given flight.
Step 3
Select your seat by clicking on the relevant square - hovering over the seat will display its price.
Step 4
If the combined flight + seat cost exceeds policy or budget:
-
Submit for approval.
-
Upon approval Ramp attempts to book the exact seats.
• If a free seat is now gone, Ramp auto-selects the best alternative.
• If a paid seat is now gone, the flight books without a seat and no seat charge posts.
Paid-seat transactions appear in Reporting › Travel and are automatically linked to the originating flight for auditors.
Use cases and examples
- Travelers with airline status automatically get their seat discounts without having to go to the airline website.
Best practices and tips
-
Add loyalty numbers to profiles first—complimentary seats will surface automatically.
-
Note that changes to seat selection made on the airline website won't sync back to Ramp.
-
If you anticipate a policy exception, include justification in the approval note to speed manager sign-off.
Frequently asked questions (FAQs)
What if a seat vanishes during approval?
If it’s a free seat, Ramp automatically picks a similar one. If it’s a paid seat, the flight books without a seat and no seat fee is charged.
Can seats be approved separately from flights?
No. The flight and its selected seat are approved or denied together.
Are seat charges refundable?
Generally not. When a flight is refunded, the original seat cost remains visible as a separate charge.
Do loyalty perks apply?
Yes. Stored loyalty numbers automatically unlock eligible free seats in the seat map.
Will Ramp detect seat changes made on the airline site?
No. A reminder banner warns travelers that external seat changes won’t appear in Ramp.
Is seat selection available on all flights?
No. It is possible that you do not see the seat selection as an option on a flight.
