A Seamless Onboarding Experience
Ramp’s new expense policy onboarding makes it easy for company owners and admins to set up policies that align with their business needs. This guided experience ensures your company starts with a well-defined policy while allowing for customization to fit your workflows.
Step 1: Confirm Your Expense Policy
- After signing up, admins are directed to the setup guide.
- One of the first steps is confirming your expense policy—this ensures all expense controls are properly in place from the start.
- A banner in the Expense Policy tab will prompt you to complete this step before accessing additional settings.
Step 2: Choose a Default Policy
Ramp provides two pre-configured expense policies to get you started:
- Standard Policy – A balanced approach, suitable for most businesses.
- Strict Policy – Adds additional approval steps for companies needing extra oversight.
- If you select the Strict Policy, you’ll see a notification about the extra review steps it introduces.
Step 3: Customize Your Policy
Beyond the default options, you can fine-tune your expense policy to match your company’s requirements.
Approval Workflows
- Define who approves employee spend requests (manager-only, manager + admin, or tiered approvals based on amount).
- Customize reimbursement approvals, including options for manager and admin review at different spending thresholds.
Receipt & Memo Submission Rules
- Configure when receipts and memos are required for transactions.
- Set thresholds for when memos are mandatory or disable receipt/memo requirements entirely.
- Changes are tracked with a modified badge, so you can easily see what’s been adjusted.
Flagging Out-of-Policy Spending
- Set up policy flags to automatically notify managers or admins of potential violations.
- Choose which conditions trigger alerts and whether to enforce additional reviews.
Step 4: Post-Transaction Review Settings
Define when additional reviews are required:
- Only for violations.
- For warnings and violations.
- For transactions above a certain threshold (customizable).
Admins can also decide whether flagged transactions should be reviewed by managers, admins, or both.
Step 5: Advanced Customization
For teams that need more flexibility, the Advanced Workflow Builder allows for deeper customization of expense policies.
- Access granular controls to fine-tune approval rules and review steps.
- Preview your settings and make adjustments before finalizing.

Finalizing Your Setup
- Once you click "Looks Good", you’ll return to your starting point (either the Setup Guide or the Expense Policy tab).
- Your expense policy is now fully configured, and you can adjust it at any time from the Expense Policy tab.
