Accidental or personal charges on Ramp
Mistakes happen. Ramp supports several ways to resolve accidental, personal, or out-of-policy charges:
- Repay on Ramp (ACH transfer)
- Repay Off-Ramp (track repayments done outside Ramp while keeping books tidy in Ramp).
- Employees can also repay partially (pay less than the full amount) when appropriate, but Ramp does not support a second in-Ramp repayment after that partial repayment completes.
Use Repay transaction to start repayment from the transaction. We strongly recommend linking a personal bank account so you can repay by ACH. If ACH is not available, choose Repay Off-Ramp to let your company know you'll repay outside Ramp.
Employee: repay an accidental transaction
- Open the transaction in your Ramp dashboard. Note: You can now repay transactions that are still pending. The repayment will be queued and process automatically once the charge clears. If the cleared amount changes, the repayment will be canceled and you'll be notified.
- Click Options → Repay transaction.
- Enter an amount to repay (full or partial). If you choose a partial amount, you cannot request a second in-Ramp repayment later for the remaining balance.
- If you have linked a personal bank account, choose the ACH repayment path:
- Repay on Ramp (ACH):
- If needed, Add Account to link and verify your personal bank (verification can take 2–3 business days).
- Submit a short reason and click Repay. Funds typically arrive to your company in 5–7 business days.
- If you have not linked a personal bank account or ACH is not available:
- Repay Off-Ramp (track externally):
- Select off-Ramp repayment to log that you’ll repay outside Ramp (e.g., payroll deduction).
- The transaction will show a repayment-in-progress state. Your admin will later confirm it as repaid.
If a reviewer requests repayment
- You’ll receive an email and a task in Ramp.
- Open the repayment request, review details, and choose Repay on Ramp (ACH) or Repay Off-Ramp.
- For on-Ramp, follow the bank-link flow (if not already linked) and confirm the amount (full or partial). If you choose a partial amount, any remaining balance must be settled outside Ramp.
- For off-Ramp, your admin will mark it Repaid once they confirm repayment occurred externally.
Admin/Manager: tracking and closing the loop
- Use the Repayments table to see all items marked Repay Off-Ramp, monitor status, and export to CSV.
- When an external repayment is confirmed (e.g., via payroll), open the transaction and click Mark as repaid to close it out in Ramp.
- Note: Mark as repaid is visible to admins. Employees only see Cancel repayment on their own items.
- Continue to use Employee Repayments workflows if you are initiating or requesting repayment from a cardholder.

Notes and FAQs
- Partial repayments are supported for both on-Ramp and off-Ramp paths. After a partial repayment completes, Ramp does not support a second in-Ramp repayment for the remaining balance.
- On-Ramp ACH timing: bank verification 2–3 business days (if newly linked) + transfer ~5–7 business days.
- Off-Ramp keeps Ramp in sync even when funds move elsewhere—improving auditability and month-end close.
- Repayments for accidental or personal expenses are always processed under the cardholder’s Ramp account, even if a different employee ultimately covers the cost.
- Only the cardholder can initiate repayment in Ramp using a connected personal bank account or debit card.
- If someone other than the cardholder needs to cover the expense (for example, a manager or another employee), your team must handle that transfer outside of Ramp (for example, via payroll adjustment, internal reimbursement, or another internal process).
