Correcting Transaction Merchant and Date Information on Ramp

When you view a transaction on Ramp, several fields describe the merchant and purchase details. These fields come from different sources — the card network, the merchant's payment terminal, and Ramp's own enrichment — which is why they may not always match your expectations. This article explains what each field means, where it comes from, and how to correct inaccurate merchant information.

Understanding merchant fields on a transaction

Each card transaction carries merchant information from the card network. Ramp processes and enriches this data to make it more readable. The key fields are:

FieldWhat it isWhere it comes from
Merchant NameThe clean, readable name displayed on the transaction (such as "Amazon" or "Hilton Hotels").Ramp enriches and normalizes the raw network data into a recognizable name.
Merchant DescriptionThe raw descriptor string from the card network (such as "AMZN MKTP US*2B3C4D5E6"). This often includes abbreviations, location codes, or reference numbers.Set by the merchant's payment terminal and passed through the card network (Visa, Mastercard).
Ramp CategoryThe spending category assigned to the transaction (such as "SaaS / Software" or "Restaurants").Determined by the transaction's MCC code and other factors. See Setting up category and merchant restrictions for the full list of categories.
MCC CodeA 4-digit Merchant Category Code that classifies the type of business (such as 7011 for "Lodging" or 5812 for "Eating Places, Restaurants"). Ramp uses this code to assign the Ramp Category.Configured by the merchant in their point-of-sale or payment terminal settings. Ramp cannot change a merchant's MCC code.
Merchant LocationThe city, state, and postal code associated with the transaction.Reported by the merchant's payment terminal through the card network.

Note: Because the merchant description, MCC code, and location all originate from the merchant's payment terminal and card network, they may not always match your expectations. For example, an online purchase might show a different city than where the merchant is headquartered, or a restaurant might appear under an unexpected spending category if its MCC code does not match.

Viewing transaction details

To view the details of a transaction, go to Expenses & travel > Card transactions and select any transaction to open its detail page.

On the transaction detail page:

Correcting merchant information

If the merchant name, category, or website shown on a transaction is incorrect, you can report it directly from the Ramp dashboard.

On desktop

  1. Open the transaction detail page and click the merchant name in the header.
  2. Select Report incorrect merchant info .
  3. Update the merchant name , category , or website as needed. When you type a name, Ramp suggests matching merchants — selecting one auto-fills the other fields.
  4. Submit your suggestion. Ramp reviews the change automatically.

You can also access this option from the transaction's Options menu (…) > Report incorrect merchant info.

Note: Merchant corrections apply to future transactions from the same merchant. Changes may not appear until the transaction has fully settled.

On mobile

The Ramp mobile app may offer fewer options for reporting incorrect merchant information. If you do not see the option on mobile, sign in from a web browser and check the same transaction there.

When to dispute vs. correct a transaction

Correct the merchant information when the transaction itself is legitimate but the merchant name, category, or website shown on Ramp is wrong. Use Report incorrect merchant info as described above. This does not involve the card network or affect the charge.

Dispute the transaction when there is a problem with the charge itself, such as:

Before filing a dispute, try to resolve the issue directly with the merchant. Disputes must be filed within 60 days of the transaction settling on your account. To file a dispute, go to the transaction detail page and select Options (…) > Dispute transaction. For the full dispute process, see Disputes at Ramp.

Frequently asked questions

Why does the merchant name on my transaction look different from the actual business name?

The raw merchant descriptor comes from the merchant's payment terminal and card network, which often uses abbreviations or internal codes (such as "AMZN MKTP US" for Amazon). Ramp enriches this into a readable merchant name, but the original descriptor is still available — click the merchant name on the transaction detail page and select Copy merchant description to view it.

Why is my transaction in the wrong spending category?

Ramp assigns categories based on the merchant's MCC code and other factors. The MCC code is configured by the merchant in their payment terminal settings — Ramp cannot change it. If the category looks wrong, you can report it via Report incorrect merchant info on the transaction detail page. For more about how categories work with spend controls, see Setting up category and merchant restrictions.

What is the difference between Merchant Name and Merchant Description in my CSV export?

Merchant Name is the clean, enriched name that Ramp displays on the transaction (such as "Amazon"). Merchant Description is the raw descriptor from the card network (such as "AMZN MKTP US*2B3C4D5E6"). Both are included in CSV exports. See Exporting your data to CSV for all available export fields.
