Capturing Savings on PO Requests

Overview

This guide helps Ramp admins and finance teams track and manage savings on Purchase Orders (POs). You can record savings such as price reductions, bundling discounts, and early payment discounts or any other custom type of your choice. There are two methods to add savings to a PO: by editing line item rates or manually adding savings.

Method 1: Adding savings via price reduction

Step 1: Go to an existing Purchase Order (e.g., "PO# 100314 Slack Enterprise Grid Renewal").

Step 2: Click on "Options" and select "Edit purchase order."

Step 3: Scroll to the "Line items" table in the "How much?" section.

Step 4: Change the "Rate" for a line item (e.g., from $21,500 to $20,500).

Step 5: When prompted "Track this as a $1,000 saving?", click "Add."

Step 6: In the "Any savings to track?" section, check the pre-filled "Savings type: Price reduction" and "Amount saved: $1,000."

Step 7: (Optional) Add a "Comment" for context (e.g., "Related to Contract renewal").

Step 8: Click "Save changes" to update the PO.

Step 9: The "Savings" section will appear at the bottom of the PO overview, detailing the added saving.

Method 2: Manually adding savings

Step 1: Navigate to an existing Purchase Order (e.g., "PO# 100312 Docusign Business Pro Renewal").

Step 2: Click on "Options" and select "Edit purchase order."

Step 3: Scroll to the "Any savings to track?" section.

Step 4: Click "+ Add savings."

Step 5: Choose a "Savings type" from the dropdown (e.g., "Bundling/package savings").

Step 6: Enter the "Amount saved."

Step 7: (Optional) Add a "Comment" if required for the savings type.

Step 8: Click "Save changes" to apply the update.

Configuring savings types

Step 1: Click "Purchase orders" in the left navigation bar.

Step 2: On the "Manage spend" -> "Purchase orders" page, click "Settings."

Step 3: Scroll to the "Savings" section in "Purchase order settings."

Step 4: Use the toggle switches to enable or disable savings types.

Step 5: (Optional) Click "Add type" to create a new savings type.
